Inbox and calendar on autopilot
A chief-of-staff starter set: brief, triage, prep, nudges and invoices. Everything that would reach another person stays a draft.
These five cover the daily loop most people want a chief of staff for. Each one reads your mail and calendar and brings the result to you. None of them sends, archives or accepts anything on your behalf.
Suggested order. Start with the morning brief, since it only reads. Add meeting prep once you trust its summaries, then draft-only triage. The waiting-on-replies tracker and the invoice check come last, because they draft messages to other people, and you’ll want to see a few drafts before relying on them.
Before you connect Gmail. Plugin permissions are shared across your dot, ChatGPT, ChatGPT Work and Codex, so review them once in the Plugins tab. Keep sending email on Ask before taking action in your custom rules. Asking your dot for drafts doesn’t give it permission to send them.
-
Morning brief from inbox and calendar
Every weekday before work, your dot reads today's calendar and overnight email and sends one short brief: meetings, prep, replies owed.
-
Draft-only inbox triage
Twice a day your dot sorts new mail into needs me, FYI and ignore, and drafts replies for the needs-me pile. It never sends or archives.
-
Meeting prep pack the night before
Each evening your dot reads tomorrow's calendar and writes a one-page prep note per meeting from recent email threads and shared docs.
-
Waiting-on-replies tracker
Once a week your dot finds emails you sent that never got a reply and drafts a short nudge for each one, for you to review and send.
-
Catch forgotten invoices
Your dot matches delivered work against invoices you've sent and drafts the missing ones. Nothing goes to a client until you approve it.
